Maintenance

It is essential to look after your pages once they are live. If users of the site see out-of-date content, they will lose confidence in the whole site.

Procedure

All pages have a review date and content owner. When the date has passed the owner will be emailed and asked to review the page's content. They can:

  • approve without change
    (and set the next review date)
  • make minor changes (contact Web Team)
  • make major changes (contact the Editor)
  • remove for archiving

Please use the web link you have been emailed by the 'site signoff' system to request updates to existing pages when prompted to review them.

Web pages (HTML)

The file stored on our website is always the master document. Content owners wishing to make small changes should not resupply the document. Instead they should describe the changes needed and quote the page's web address.

If a page is being replaced or more extensively revised, a new document should be supplied to the Web Team. It will be reviewed by editors in Communications prior to production, and so may be edited.

Publications and PDFs

Unlike for HTML web pages, content owners who supply Word or PDF files are responsible for maintaining master versions locally. Whenever they need updating they should be resupplied in full to the Web Team.
